Calibration & Invoicing

Operations Board

Every client engagement — contacts, purchase orders, invoice status and calibration recalls — alongside the standing customer list the office works from.

Cal Form — field certificate app

Capture calibration certificates on site, online or off. Opening it from here issues a 12-hour field pass to this device, so the app unlocks without re-entering the code.

About this board: the access code is a light gate, not verified sign-in — anyone who knows the code can open it. For an audit trail and per-staff logins, the board can be upgraded to secured sign-in with Netlify Identity. Invoice triggers (30/60/90 days) and calibration recalls are calculated automatically from the dates you enter. The customer list is the standing directory of businesses you work with — starting an engagement from it copies the contact and address you already hold, so the same details reach every certificate. The mail icon on an engagement card or a customer row opens a message to that customer, already addressed and signed off as David Henry (David@trace1fs.com) — it composes in this device’s mail app, so that app should be signed in to the Trace 1 account for the message to leave from it. The W-9 button on the same rows opens Trace 1’s Form W-9 with the customer already written into the requester block, ready to print or save as a PDF for their accounts payable team — enter the taxpayer ID once and this browser remembers it, so the number is never stored in the site itself. To deliver certificates and records to a client securely, sign in to the Client Portal with a staff (admin) account — the upload tools assign each file to a client login. Field technicians capture certificates in the Cal Form app, which is released from this board — it asks for the same access code unless this device is holding a field pass, and clients build their own recall schedules and registers in the report dashboard.
